Boards is a powerful tool for both Team Collaboration and External Customer Content Delivery. Understanding the difference in how you share is crucial for ensuring the right people get the right content in the best manner.
Sharing with Your Team: Collaboration & Full Access
Team members need to download and install the Boards app when the sharing method is designed for collaboration and full Board access:
- Inviting someone to join your Board like a team member.
- Sharing a Board or a Folder with your teammates or downlines (allowing them to become a Member and view the Content within the full Board structure).
Adding Team Members to the Board
The most efficient way to share content with your team is by adding them directly to your Board as a Member.
- Benefit: This gives your team members access to all the content and ensures they receive real-time updates.
- Action: They can use this content as needed to support their work and grow the business.
There are no limits to how many people can join your Board.
Alternative Sharing Methods for Boards
If you don't own the Board but need to share access with a teammate:
- Tap on Share Board or Link 🔗.
- Use the Add Members function.
Key Difference: Sharing in this manner (adding to the Board) gives your team the full ability to utilize the content for their business needs, which requires them to download the Boards app.
Sharing with a Customer: Direct Delivery
Recipients do not need the Boards app when you are sharing Content for simple viewing or consumption like a Customer or Prospect, as the Content is delivered as a standalone link or embeddable item:
- Sharing individual pieces of content from the Keyboard with your clients. (The Content is delivered directly into the message or chat without opening the app).
- Sharing a Page from the Keyboard or app with your clients. (The Page is opened as a mini-website in any standard web browser, not requiring the Boards app installation).
Customer Access Requirements
- Your customer does not need to be added to your Board.
- They do not require having the Boards app.
Correct Methods for Sharing Individual Content
To ensure your customer receives the content directly without being prompted to download or open the app, follow these steps:
- Tap on the content first.
- Then tap the share icon to send the selected item.
The Fail-Safe Method: Sharing via the Keyboard
The most reliable way to share content individually to a customer is by using the Boards Keyboard function.
- When you share individual content directly from the keyboard:
- Your customer only receives the specific Content you sent.
- They are not asked to join or download the app.
- They do not have access to your Board.
Key Difference: Sharing individual content (not the Board itself) ensures customers receive what they need without gaining access to your internal resources or requiring app installation. If you want to share a lot of content without requiring an app, build them a Page!
